Who are we?

Carrot Rewards was created by The Carrot Company, the team behind School Stickers, provider of millions of school rewards to thousands of schools across the world since 2000.

Your Personal Data

How do we collect information about you?

We obtain information about you when you use our website, for example when you sign up to an online demonstration, use the free version of Carrot Rewards or launch the system at your School.

What type of information is collected from you?

The personal information we collect might include your name, position at the school, school email address, IP address and information regarding what pages are accessed and when.

How we will use the information about you?

Process your order, manage your account, and provide you with ongoing support and updates.

Who has access to your information?

We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes.

Third Party Service Providers working on our behalf:

We may pass your information to our third party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to send you mailings) or setup MIS integration with our integration partner Wonde.

However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. Please be reassured that we will not release your information to third parties for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

Your Choices

You have a choice about whether or not you wish to receive information from us. If you do not want to receive direct marketing communications from us about our exciting products and services, then you can select your choices by ticking the relevant boxes situated on the form on which we collect your information.

How you can access and update your information

The accuracy of your information is important to us. We’re working on ways to make it easier for you to review and correct the information that we hold about you. Security precautions in place to protect the loss, misuse or alteration of your information

When you give us personal information, we take steps to ensure that it’s treated securely. Any sensitive information (such as credit or debit card details) is encrypted and protected with the following software 256 Bit encryption on SSL. When you are on a secure page, a lock icon will appear on the bottom of web browsers such as Microsoft Internet Explorer.

Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

School Data & GDPR Information

Where is School data stored?

School data is only ever stored in three locations, Carrot Rewards Secure Data Server, Google Cloud Services and if the School has opted for MIS integration with Wonde.

Carrot Rewards stores school data with Fasthosts. The Gloucester data centres are state-of-the art and are ISO 27001 certificate. CCTV covers all areas of the data centre, with highly experienced security guards on duty 24/7, 365 days a year. Role-based access control swipe-card system across multiple secure areas ensure absolutely no access by unauthorised personnel.

Wonde our MIS integration Partner stores school data within Amazon Web Services (AWS). The Ireland data centres are used to ensure the data stays within the EEA. Wonde are also now ISO 27001 accredited. Wonde has also committed to Cyber Essentials which will follow the ISO 27001 accreditation.

How do we collect School Data?

The School information we collect might include pupil names, year group, form, house, and teacher details and classroom details. These are the most basic fields that are required by Carrot Rewards for the system to function as intended. This data is either uploaded manually by the Carrot Rewards user or is pulled from the schools MIS as verified through Wonde.

Wonde will only extract data within the scopes approved by the school. Carrot Rewards define the scope of data required from the school from within Wonde. These scopes can be defined down to a granular level (i.e. first name) which is then approved by the school. Carrot Rewards is not able to access data outside of the agreed scope without further school approval.

How often do we collect School data?

Carrot Rewards will only pull from the agreed data scope at the initial system setup and then only at the Schools request to update the data in Carrot. Data will also be collected when a Carrot user manually uploads it through Carrot Rewards.

Wonde extracts data from a school’s MIS on a regular basis. By default updates occur multiple times a day although the schedule can be tailored to the schools requirements. Please see the Wonde GDPR statement here for more information.

Who has access to the School data?

Carrot Rewards Developers strictly for issue resolution purposes and the Schools allocated Account Manager and Managing Director are the only outside parties who will have access to the Schools Data. The School has the ability to control who has access internally through managing the teacher users in their account.

Does Carrot Rewards use any third parties who have access to the data?

Only schools who opt-in for MIS integration will have their data accessed by Wonde. No other third party are permitted to access the school’s data.
